We’re looking for a Business Operations Associate who can connect the moving parts across strategy, creative development, production and client delivery. You will help turn project requirements into clear action plans, keep teams aligned and ensure that important details do not get lost between departments.
This role is suited to someone who is organised, observant and comfortable taking ownership. You should care about both sides of delivery: completing the work on time and ensuring it meets the standard we are prepared to put our name on.
Language Requirement: Native or professional fluency in written and spoken Mandarin Chinese is mandatory.
Translate project requirements into clear timelines, task plans, responsibilities and delivery checkpoints.
Coordinate with strategists, copywriters, designers, video editors and other project team members to keep work progressing across each stage.
Prepare project briefs, meeting notes, status updates, feedback summaries and other operational documents required for effective execution.
Track project progress, deadlines, approvals, dependencies and outstanding actions across multiple client engagements.
Consolidate internal and client feedback into clear, actionable instructions before revisions begin.
Check deliverables against the approved brief, feedback history, brand requirements and submission checklist before they are shared.
Maintain organised project folders, documentation records, version control and approval histories.
Identify unclear instructions, missing information, timeline risks and potential delivery issues early, then escalate them with the relevant context.
Coordinate internal reviews and handovers so that each department has the information and materials needed to begin its work.
Support resource and workload planning by keeping project schedules and team capacity information accurate and current.
Assist with project closure by recording outcomes, delivery issues, lessons learned and recommended improvements.
Improve templates, checklists, SOPs and coordination practices based on recurring issues observed during delivery.
Prepare operational reports and project updates to help management monitor delivery performance, team capacity and business priorities.
Use project management and AI productivity tools to improve documentation, coordination and operational efficiency.
1–3 years of experience in project coordination, account servicing, business operations or production coordination, preferably within a branding, creative, digital marketing or advertising agency.
A practical understanding of how strategy, content, design, video production and client servicing work together.
Strong documentation, planning and organisational skills.
Ability to manage multiple projects, timelines and stakeholders without losing track of important details.
Clear written and verbal communication skills.
Confidence in following up, clarifying requirements and raising concerns when information is incomplete.
Experience using project management platforms, Google Workspace and collaborative documentation tools.
Comfortable using AI productivity tools to support research, documentation, planning and workflow management.
Basic understanding of quality assurance, feedback management and version control.
